CANCELLATIONS;
48 hours before pick-up time, a confirmed reservation will be fully refunded, except for a $30 admin fee. Between 24 and 48 hours, a 50% refund will be given, and for less than 24 hours, no refund shall be given. Passengers failing to arrive at the advised pick-up point or finding alternative transportation will not receive a refund. One-way journeys commencing at any airport are payable in full at the time of reservation and are not refundable. Fares quoted are as advised and must be within a 5 km radius of the origin city center; otherwise, additional mileage charges will apply.
Any booked (pre-arranged) passenger who cancels the same day or is not at the address of confirmed pick-up and not at the Predetermined location upon their arrival will be considered a NO SHOW. NO SHOWS will be charged the full rate. There is NO REFUND as we have dispatched a driver and a vehicle with reserved seating for you.
We are not responsible for delayed or early flights. If your flight is delayed and you do not meet the scheduled service on time, you will be placed on the next available service for a transfer fee of $25.00 per person. Next day service (after Midnight) is an additional Fare.
If you are delayed in customs, waiting for luggage and/or there is an “off-boarding” issue, please call the office and leave a message (613-968-2058) during regular business hours, Monday to Friday, 08:30 am to 04:30 pm. After hours and weekends, please phone or text the on-call at 613-920-2185
Please note that Ontario Coachway Airport Service DOES NOT TRACK FLIGHTS.
The passengers are responsible for monitoring and informing the office of ALL flight arrivals and departures regarding cancellations or delays. If the flight is cancelled or delayed after business hours, please leave a message on the service.
Passengers are responsible for providing correct flight information, dates and times. Along with the proper address for all applicable fares, you will be charged the difference if the city or town is incorrect and there is a rate change.
Ontario Coachway will not assume responsibility for claims, losses or costs resulting from injury, accident or death, damage to property as well as loss or delay of property or any inconvenience from; 1) acts of omission of any party 2) mechanical breakdown 3) government actions including epidemic/pandemic restrictions 4) labour disputes 5) weather conditions 6) road traffic accidents and road construction 7) force majeure.
It is the customer's responsibility to ensure they have read the terms and conditions herein and understand the arrival procedures at Pearson, as advised verbally and at the time of booking and by email two days prior to travel. Also, on our website, at www.ontariocoachway.com.
It is also the customer's responsibility to ensure they are ready to leave at the agreed pickup time as advised by the driver before pickup. Failure to do so may result in the passenger not travelling with Ontario Coachway, and no refund will be given.
Ontario Coachway reserves the right to refuse travel, without refund, to any person whose behaviour is judged to be detrimental to the safety, harmony or comfort of other passengers or the driver.
Departure from any location may be 4 to 7 hours before the flight to account for weather conditions and/or the location of other passenger pickups.
Where the return journey is missed due to delayed, missed or cancelled flights, the following fees will be required if passengers can be transferred to another vehicle on the same day: $25.
If no service is available that day, passengers transferred to the following day (after midnight) will be required to pay a further single journey fare or elect a “Private” vehicle at additional cost and forfeit the original fare, subject to availability.
All passengers must advise Ontario Coachway of any delays or cancellations to ensure transport may be provided as required. Under these circumstances, no guarantees can be given, as prescribed.
Ontario Coachway reserves the right to change reservation times and vehicles based on travel timings, weather or force majeure.
Wait times for transportation from the airport may be up to 4 hours or more due to delayed arrivals, weather, shuttle utilization or force majeure.
For private service arrivals, should your flight be delayed up to 1½ hours after the originally scheduled arrival time, any additional holdover time by the driver is $25 per half hour for vans and $50 for buses.
Ontario Coachway does not use ETR 407 highway; however, the driver may request this upon payment of $60 cash (buses $80).
Private charters and tours must be fully paid 7 days before the day of travel.
Accepted Methods of payment: E-transfer, Cash or Cheque (Cheques by prior arrangement only, subject to a $50 return fee)
Luggage allowance is as follows;
1st standard checked bag and standard carry-on (must be able to sit on lap or in front of your feet) are included in the fare. If the 1st standard checked bag is over 50lbs or exceeds the 62” when you total (length + width + height), it is an additional $15.00.
The 2nd standard checked bag is an additional $20.00. 2nd oversized checked bag is an additional $35.00
Golf bags are an extra $25.00 per piece, per direction.
Any extra luggage is additional per the directions above and requires advance notice.
Ontario Coachway Airport Service must be notified of any extra or oversized luggage per direction at the time of booking, so the proper-sized vehicle will be assigned for the trip. If you have more than the allotted luggage at pickup time, Ontario Coachway reserves the right to refuse any extra luggage that has not been pre-arranged during your booking or confirmation.
For safety reasons, the driver must assist any passenger with luggage weighing more than 60 lbs in loading and unloading.
Ontario Coachway Airport Service will not be liable for lost baggage, as it is the passenger's responsibility to identify their luggage to the driver. It is the passenger’s responsibility for their belongings. Check your seat for any belongings as you leave the vehicle.
Please check with your airline regarding their luggage allowances, as each airline's policy may differ.
*Space is limited; all extra or oversized luggage must be pre-arranged. Ontario Coachway reserves the right to refuse any excess or overweight luggage that has not been pre-arranged.
Carry On: Small bag, purse, computer bag. Must be able to sit on your lap or on your feet
*Roller boards of any size are not considered carry-on and must be declared as checked luggage. *
Standard Checked Bag: 50 lbs (23 kg), 62 inches (158 cm) when you total, length + width + height
Oversized Bag: weighing more than 51 lbs (32 kg), PLUS, is considered oversized
Any damage or illegal actions resulting from the passenger’s disregard or negligence will result in fines and/or costs, which will become the passenger's responsibility.

Online bookings are not confirmed until an agent from Ontario Coachway gives you a Confirmation Number. The booking ID is not a confirmation.
For overnight Charters, the clients supply the driver’s accommodations, meals, tolls & parking.
