Luggage Policies
Drivers are unable to accept any luggage beyond what was declared at the time of booking. Any additional or oversized items must be approved by the office and paid for in advance. Unapproved luggage may not be accommodated on the day of travel.
Luggage allowance includes:

One (1) standard checked bag per passenger

One (1) personal item OR small carry-on
Additional charges apply as follows and are per direction:

Overweight or oversized first checked bag: $25 + HST

Second standard checked bag or additional small carry-on: $20 + HST

Second oversized checked bag: $35 + HST

Golf bags: $25 + HST per piece
Ontario Coachway must be notified of any extra or oversized luggage at the time of booking to ensure appropriate vehicle assignment. Ontario Coachway reserves the right to refuse undeclared luggage.
Passengers are responsible for identifying and securing their belongings. Ontario Coachway is not liable for lost, delayed, or damaged baggage.
Passengers are responsible for complying with airline luggage policies, which may differ from Ontario Coachway allowances.
Fares & General Conditions

Eating and drinking in vehicles is strictly prohibited due to shared use and allergy considerations

Quoted fares apply within a 5 km radius of the origin city center; additional mileage charges may apply beyond this range
Ontario Coachway does not use Highway 407 unless requested and paid for in advance by the passenger.
Ontario Coachway reserves the right to refuse service, without refund, to any passenger whose behaviour is deemed unsafe, abusive, illegal, or disruptive to the driver or other passengers.
Ontario Coachway reserves the right to modify pickup times, vehicle assignments, or routing where required due to weather, operational requirements, traffic conditions, passenger routing, or other circumstances beyond its control.
Shared Ride Service (if available)
Shared ride pickup times may vary depending on passenger routing and scheduling.
Passengers must allow up to three (3) hours for pickup due to delays, weather, shuttle utilization, or other unforeseen circumstances.
Airport arrival transfers may involve wait times depending on operational scheduling and flight arrivals.
Private Ride Waiting Times
Departures: Driver will wait up to 15 minutes beyond the confirmed pickup time. Additional waiting may incur fees or result in a no-show with no refund.
Arrivals: Driver will wait up to 1.5 hours from the originally scheduled landing time. After 1.5 hours: $25 per half-hour applies. After 2 hours: booking is considered a no-show unless alternative arrangements were approved in advance.
All waiting fees must be paid prior to continuing travel.
Cancellations & Flight Change Policy
More than 48 hours prior to pickup: Full refund, less $30 administration fee.
24–48 hours prior: 50% refund, less $50 administration fee.
Less than 24 hours or no-show: No refund.
Changes within 48 hours of travel: $50 administration fee per change.
Changes more than 48 hours prior: $30 administration fee.
A passenger not present at the confirmed pickup location at the scheduled time will be considered a no-show and charged the full fare.
Missed Service Due to Flight Delays
Ontario Coachway does not receive real-time airline updates and does not guarantee flight tracking. Passengers are responsible for monitoring and reporting all flight delays, cancellations, or changes.
If a delay results in missed service:

Same-day transfer before midnight (if available): $25 transfer fee per person + $50 administration fee

Additional driver dispatch or next available service the following day: Additional one-way fare + $50 administration fee

Requested next-day service (after midnight): Additional fare + $50 administration fee
Alternative arrangements may result in a change to the original service type (Shared converting to Private or vice versa). Any fare difference will apply.
Liability & Force Majeure
Ontario Coachway shall not be responsible for any claims, losses, damages, injuries, delays, missed flights, or expenses arising from circumstances beyond its control including but not limited to:

Mechanical breakdown

Weather conditions
-
Road construction or traffic incidents

Government regulations or restrictions
-
Labour disputes
-
Epidemics or pandemics
-
Acts of God or other force majeure events
Transportation schedules are estimates only and cannot be guaranteed due to external factors beyond the company’s control. Ontario Coachway reserves the right to adjust reservation times, vehicle assignments, or travel routing where necessary due to operational requirements.
Passenger Responsibilities
Passengers are responsible for:

Providing accurate flight numbers, dates, times, and addresses

Being ready to depart at the confirmed pickup time

Advising Ontario Coachway immediately of any flight delays, cancellations, or schedule changes
Failure to comply may result in missed service with no refund.
Passengers are responsible for any damage caused to vehicles due to negligence, misconduct, or illegal actions. Any repair or cleaning costs may be charged to the passenger responsible.
Payment Terms
Ontario Coachway reserves the right to cancel reservations where payment has not been received by the required deadline.
Governing Law
These Terms & Conditions shall be governed by and interpreted in accordance with the laws of the Province of Ontario and the applicable laws of Canada. Any disputes arising from services provided by Ontario Coachway shall be subject to the jurisdiction of the courts of Ontario.
